Administrators who need to view and manage Entity process records.

Administrator access to the Universe module

When an Entity is mapped to a Process, an Entity-Process record is automatically created, which can be viewed and managed within the Entity Risk Register and Client Universe screens.

1. Understanding Entity-Process records

Entity-Process records are automatically generated when you map an Entity to a Process. For detailed information about this functionality, refer to the Entity and Ideagen EHS (Priya)ping article.

Within the Entity Risk Register and Client Universe screens, you can view attributes and attach files to these Entity-Processes. However, Entity-Processes cannot be added or deleted within these screens; they can only be created and removed through Entity-Ideagen EHS (Priya)ping.

2. Viewing Entity-Processes in the Risk Register

The Risk Register within an Entity can display a list of the Entity's mapped processes.

1. Navigate to the Entity Risk Register.
2. Select Entity-Processes from the Ribbon.

With a Display Mode of Entity-Processes, the data grid provides a summary of the Entity-Process records. This allows you to capture details such as the Owner, Business Owner and required Audit Frequency against each combination.

3. Setting Entity-Process properties

You can configure various properties for each Entity-Process record, organised into Definition and Execution categories.

3.1 Definition properties

• Name (read only)
• Owner (set via a Staff dialogue window)
• Business Owner (set via a Contact dialogue window)
• Budget Effort (copied into an Entity-Process Period for planning when a Planning period is made)
• Audit Frequency (frequency is recorded in months)

3.2 Execution properties

• Comments - comments on the Entity-Process
• Cross references - the term Cross Reference is analogous to a Hyperlink where you are able to create a link to a record within the system that is of related interest

4. Configuring Entity-Process Audit Frequency

An Entity-Process can optionally have a suggested Audit Frequency associated with it. This Audit Frequency is recorded in months and indicates how often the Entity-Process should be audited.

This Audit Frequency attribute is used to create an audit plan within a Planning Period. Pentana can suggest Audits for the audit plan based upon this Audit Frequency if desired.
