Understanding Business Rules for Action Updates

Administrators who need to understand Business Rules.
Administrator access to the Universe module is required.
This article explains how Business Rules govern the creation and status changes of Action Updates within the system.
1. Creating an Action Update
When you add an Action Update, the system automatically sets the following elements:
- Created By is set to the current user
- Created Date is set to the current date and time
- Status is set to Pending
- Respondent is set to the Action Owner (this can be changed within System Settings to allow customers to use the Business Co-ordinator)
- Respond by Date is set to today plus a configurable number of days (this can be changed within System Settings to allow customers to vary the period)
- Respondent/Auditor Comments is set to blank
2. Changing the Action Update Status to Pending
When you set the status as Pending, the update is sent back to the respondent without formal rejection.
The system will not send an immediate email notification.
3. Changing the Action Update Status to Submitted
When the respondent sets the status as Submitted (if they have access to the application), the system will not send an email to the Auditor or any other party.
The Action will now be visible to the Auditor on their My Actions widget.
4. Changing the Action Update Status to Accepted
When the Action Co-ordinator sets the status as Accepted, the system updates each element of the Action that is shared by the Update.
The system does not send an email to either party in this case.
5. Changing the Action Update Status to Rejected
When the Action Co-ordinator sets the status as Rejected, the system displays a confirmation message.
The confirmation message asks: Do you wish to create a new Update and email the respondent?
You can select from the following options:
- Yes
- No
- Cancel
