Managing attatchments

User who need to managing attachments.
No special access or permissions are required.
Attachments in Ideagen Internal Audit (Aura) provide flexibility for adding supporting evidence at any stage of your process, with all Universe attachments viewable in one centralised location.
1. Adding an attachment
You can add attachments using drag and drop functionality or through the menu system.
To drag and drop an attachment:
- Drag your file directly onto the data grid
To add an attachment through the menu:
- Navigate to Universe
- Attachments
- Select Add from the general toolbar in the ribbon (you may also right-click and select Add from the drop-down menu).
- From the dialogue window, either select an attachment template from the Attachment Library or select Add from file (any file format such as Microsoft Word, Excel or PDF).
- Once the file has been added, alter its title and other properties within the Properties dialogue if needed.
2. Viewing an attachment
To view an attachment, double-click on it. You will have several options:
- Read only - view the attachment without making changes
- Reserve and Edit - see Reserve / Commit File Attachments
- Populate - automatically insert data into your report templates
- Remove Markup - ensure the report templates cannot be re-populated
Note: When jumping to a file attachment via a hyperlink or cross reference, the file is automatically launched rather than just jumping to the file attachment record.
3. Deleting an attachment
- Select the attachment you wish to delete.
- Select Delete from the general toolbar in the ribbon (you may also right-click and select Delete from the drop-down menu).
Note: You cannot delete an attachment if it is currently checked out.
4. Understanding attachment properties
Attachment properties are organised into three sections:
4.1 Definition
- Ref - give the attachment a reference number
- Title - give the attachment a title
- Description - describe the attachment (rich text format)
- Category - categorise the attachment, which is editable in Segmentations
- Cross References - create a link to a related record within the system (analogous to a hyperlink)
4.2 File Info
- File Name - read only and system generated
- File Size - read only and system generated
- Modified By - read only and system generated
- Modified Time - read only and system generated
4.3 Configuration
- Populate - used for template population
- Prompt - read only and system generated
- Perspective - used to determine the parent for template population
5. Viewing all attachments
All Universe attachments, including those from an Incident or Key Issue, can be viewed in one place by selecting Attachments from the navigator.
Using the Context Information window, you can view and then navigate to where that attachment is located.
