Using the Analysis screen
Who is this article for?
Users who need to understand the Analysis screen.
No special access or permissions are required.
The Analysis screen is a powerful tool for creating charts which show how many records of a given type exist within the system, allowing you to focus on certain areas by selecting a chart mode while also being able to filter and choose categories and aggregation.
1. Understanding chart modes
The chart display mode is set in the Commands tab.
The available modes include:
Once you have selected the required mode you can switch to the chart Data and Format tabs.
Note: The available menu tabs on the ribbon depend on whether you have focus on the Chart or the data grid. The focus can be switched by using your mouse to click on each area of the screen accordingly.
2. Configuring chart data
When the Chart has focus you can select the Data menu tab. The screen can be used to analyse your selected chart mode using a combination of Categories and Aggregation (segmentations). The charting may further be filtered by All Org Units and All Process Areas using the available navigators.
Categories
This selection determines how the data will be grouped (categorised) on the X axis (Y Axis for Bar Charts).
Aggregation
This selection determines how the data will be further grouped within each category.
- A legend will show the values that are represented by the series selected
- In a 2D view the series will be displayed on the X axis within each category
Some modes like Audit, have numeric fields such as Budget Time and Actual Time and these may be charted in Aggregation using their Sum, Minimum, Maximum and Average values.
The chart can be further manipulated using the ribbon:
- Show Empty Categories - shows categories for which no data is returned
- Show [unspecified] Category - shows data where the category value has not been set in the underlying data
- Show Empty Series - shows series values where no data has been returned
- Show [unspecified] Series - shows data where the series value has not been set in the underlying data
Note: There are additional filter options that you may set within the expander bar (for example with the Time Sheet lines you can select required owners and periods).
3. Formatting chart appearance
Use the Chart - Format menu tab to access the available Chart options including the chart type.
The formatting options include:
- Chart Type drop down - Area, Line, Multi Area, Multi Bar, Multi Line, Pie, Pie 3D, Stacked Bar
- Rotate - Available for x-y series charts
- Colours - Where available the chart will default to the corresponding Segmentation values with additional colour palettes to choose from
- Style - Where available you may change the appearance of the chart elements (Borderless, Flat, Glass etc)
- Show Legend - Show the chart legend
- Reflection - Visual effect
- Hole Radius / Rotation - for Pie/Pie3D charts
- Show Labels - For some charts you may change the position, optionally show connectors and change the label size, indent and angle
- Show Titles - Fixed 'Calculated' Title
- Show Markers - Available for certain chart types, can change the style and size
4. Working with the data grid
When the data grid has focus you can select the Format menu tab.
The charts are combined with a Data Grid which shows the data that is being charted.
- Clicking on an individual chart element (for example a single column) displays the corresponding records in the data grid
- You may multi select chart elements using the Ctrl + Click
- You may also select ALL or None using the Selection toolbar in the ribbon (or right mouse click when the chart is selected)
Note: You are able to restrict and warn how many Points (bars) are returned when charting a graph. This is to prevent the system from being overloaded when a user accidentally charts a large set of data - see system settings.
5. Copying charts and data
When you have the chart selected you may use the right click mouse menu to copy the chart and its values to the clipboard.
If you then go into MS Excel (for example) and choose Paste Special you can select Bitmap to get the image. Choosing a simple Paste gives you just the values.
