Using the Action Tracker
Who is this article for?
Users who need to understand the Action Tracker.
No special access or permissions are required.
The Action Tracker allows a dynamic interrogation of Actions across the Universe and provides a framework in which agreed actions can be collected together and followed up in a systematic manner.
1. Understanding the Action Tracker display
The Action Tracker screen allows you to analyse Actions by segmentations such as Action Category. The information is defaulted to show the number of Actions linked to the ragged hierarchy of each Organisational Unit or Process Area.
The Action Tracker provides flexible navigation, sort and pre-filter features including Date Fields, Priority and Category that make it easy to locate quickly the actions in which you are currently interested.
Clicking on the cells in the action analysis will change the data grid display to show only the actions reported in that cell.
2. Navigating the hierarchy
Use the 1 / 2 / 3 buttons to expand the detail to a level of the hierarchy. Individual row or column headers may be clicked to expand and collapse detail.
Note: There is the potential to overwhelm the screen if you try to display too much information. Use the appropriate navigators to display only the Universe records required.
3. Managing actions and action owners
Actions can be allocated to designated action owners and reminder emails generated to prompt them to respond within agreed time-scales.
The Action Tracker also allows audit staff to monitor the progress of the actions and to approve or not accept the submitted action updates.
Action owners can be defined to the system as business users (contacts) for giving them restricted access rights to record updates to their own actions.
4. Copying the Action Tracker to other documents
The copy function available on the ribbon is a method to easily transfer the Action Tracker screen to your clipboard where you are then able to paste it into other documents such as Microsoft Word.
5. Selecting charting categories
You can select different cross tabular results from the available list of categories. Examples include:
