Configuring rich text field limits
Numerous fields within Internal Audit are rich text fields, meaning that formatting can be applied, and tables and images can be included.
In theory an unlimited quantity of data can be stored in a rich text field, but there is a practical limit - any data stored in a field has to be downloaded when a record is opened, and so if a lot of data is packed into a rich text field it will slow opening and save times. Heavy use of rich text can seriously affect system performance. For this reason:
- we recommend that if a user needs to save a lot of text, or complex data like tables and images, then they should save as a file attachment. These are downloaded separately to the main record, and only when required by the user, so bandwidth is used only when necessary
- we place a cap on the amount of data that can be stored in a rich text field, which by default is 1 MB. Users will notice that if they try to save a volume of data that exceeds this cap, they will get the message "The following rich text fields contain too much content and exceed the size limit", followed by a list of affected fields
If you find that the 1MB cap is too high and wish to set a lower limit then it is possible to do so:
- As an Internal Audit administrator, go to Admin > System Settings > Text & Font
- Set the limit at Maximum Rich Text Size. The dropdown box on the right allows you to flick between MB and KB
Note: raising the limit to a higher value is likely to negatively affect system performance.
It is also possible to change the maximum height of the text box that is displayed in a details pane, using the Maximum Rich Text Editor Height.
