Using the Entity Control matrix

The Entity Control matrix provides a visual representation of control assessments across your organisation, whilst the attachments feature allows you to add supporting evidence at any stage of the audit or entity process.
Overview
Each control assessment allows you to rate the specific control in respect of the Control Design and the Control Operation. The resulting scores are then graded according to a heat map, whereby different score combinations give rise to different grades and colours.
The control matrix is available at universe, entity and audit levels.
Viewing control assessments
Selecting the Navigator displays the number of control assessments for all entities contained within that navigator level.
Clicking on a cell in the matrix displays a summary in the Data Grid of the controls that have that score. Under the matrix is an unassessed field giving a count of the number of controls not assessed. Clicking on this will provide a summary list.
Working with local matrices
If the entity uses a local matrix, the Roll Up / Group Matrix icon will be enabled in the ribbon. If the entity does not have a local matrix, this will be disabled as the group matrix is already being utilised.
When the Group Matrix is selected, the layout of the matrix will match its configuration and the controls will be displayed as per their mapping (i.e. Local to Global mappings).
Note
The Process Navigator or Filters selection has no effect on the matrix used but will filter the data accordingly.
Adding attachments
Attachments are designed to make the system flexible in adding supporting evidence for any stage of the audit or entity-orocess.
To add an attachment:
- Go to Entity Work.
- Select Entity Attachments.
- Select Add from the general toolbar in the ribbon.
You may also right click your mouse and select Add from the drop-down menu.
- Select an attachment template that has been created in the Attachment Library or Add from file.
Tip
You can also drag and drop your file attachment directly onto the data grid.
Configuring attachment properties
Definition
- Ref - give the attachment a reference number
- Title - give the attachment a title
- Description - describe the attachment (rich text format)
- Category - categorise the attachment, which is editable in Segmentations
- Cross References - the term Cross Reference is analogous to a Hyperlink where you are able to create a link to a record within the system that is of related interest
File Info
- File Name - read only and system generated
- File Size - read only and system generated
- Modified By - read only and system generated
- Modified Time - read only and system generated
Configuration
- Populate - indicates whether or not the document should be auto-populated
- Prompt - read only and system generated, indicates whether or not the document has an auto-population prompt
- Perspective - used to determine the parent for template population
