Attachment templates from the library can be copied into audit and entity work to maintain standardised documentation.
Understanding attachment templates
Attachment templates from the library can be copied into audit and entity work and filled with relevant information from their parent, ensuring standardised documentation.
Changes to a template in the library do not update copies in audits or entities, and changes in audits do not affect the library template.
Note
Attachment templates are not linked to other copies, even when used in the Risk, Controls and Tests Library.
Automation in reports requires Office 2007 or later (docx/xlsx). For general attachments, any MS Office version is compatible.
Adding a template
To add an attachment template:
- Go to Library.
- Select Attachments Library.
- Right-click the area.
- Select Add.
- Select Add Attachment Template from the menu.
- Select the template from your local computer.
- Click OK.
The template will be added to the library.
To configure the template properties:
- Edit and save the following information in the properties panel:
- Department Library - assign the template to a department library
- Ref - reference number for the template
- Title - a title for the template
- Category - categorise the template from a pick list (see segmentations)
- Active state - set whether the attachment is live, draft or closed (it must be active to appear as an option)
- Global - set whether the attachment is available to all users
- Roles - select whether the attachment is available to certain users only
- Anywhere - select whether the attachment is available anywhere
- Item Types - select where the attachment is available
- File Name - the name of the original template file
- File Size - the size of the file
- Modified by - name of the person it was last modified by
- Modified time - the time it was last modified
- Populate - read only field showing whether the report has been coded to auto-populate
- Prompt - select whether you want the system to prompt you to choose whether to auto populate or not
- Perspective - the primary aim/focus of the template
Deleting a template
To delete an attachment template:
- Go to Library.
- Select Attachments Library.
- Right-click the template you want to delete.
- Select Delete from the menu.
