Unlocking a questionnaire locked by another user
If you attempt to Complete an audit which has an open questionnaire, you will see the following error message:
Set as Complete Failed
Audit: You cannot set this Audit to Completed until all the child Audit Questionnaires are Approved
It may not be possible to change the Questionnaire State - if a user has begun to answer a questionnaire then it then it will become 'locked' and even an admin user will find that the Questionnaire State dropdown contains only the Open status and can't be changed.
If the user who has the questionnaire locked is unable to complete it (e.g. they have left the organisation) then the questionnaire must be 'unlocked':
- In the main application, go to the Questionnaires screen
- Select the questionnaire
- Find the Unlock icon in the menu bar, or the right click menu:
- You will be warned that the user's question answers will be lost
- Once the questionnaire is unlocked then the Questionnaire State can be set to Completed
- Note that it is not possible to move a questionnaire directly to Approved. You must:
- Set to Completed
- Highlight the questionnaire
- Refresh the screen
- Then set to Approved
Note that the ability to do this is controlled by role permissions. Doing the unlock requires the Audit level permission Unlock Questionnaires, which by default is granted to the Senior Audit Manager role:
